Job Description:

Duties & Functions of the Conference Services Manager

The over-arching objective of the Conference Services Manager is to manage group functions shepherding the group contract prior to arrival, while the group is on-site to conducting follow-up functions.  Other highlighted duties and functions of the CSM include:

Conduct site tours of the Hotel for clients, and other group-related (non-social catering) clients as directed by the Director of Sales. Act as the Hotel liaison with the National Sales Office to receive contracts, compile rooming lists, group resumes, rooming lists, meet and greet the group leader, provide site tours and other group service related duties. Compile BEOs for non social catering functions and distribute the BEOs as required to effected departments in a timely manner.  Provide immediate notice of any “pop ups” that are added to the BEO.   Check all meeting spaces prior to “doors open” for proper set, F&B, AV and other requirements as listed on the BEO. Check with group leader during stay/functions to ensure the Hotel is meeting all their needs and service expectations are being met, and coordinate with other departments related to the group’s functions/stay. Compile rooming lists and resumes for all arriving Hotel groups including extended stay. Review billing with Sales Manager and/or DOS prior to group departure and communicate group activity, feedback, issues, etc. with the DOS.

The CSM is a multi-tasking position whose duties require that it moves between groups in, groups out, and groups yet to come.  Highlighted desired qualifications for the Conference Services Manager position include:

Sales management, event management or sales admin experience in a hospitality environment. Experience in site presentations including menu tasting, amenity display, and room arrangements. Proven problem solving skills and ability to multi-task events and duties. Willing to work evenings, weekends and “non-traditional” shifts.
